04 / Selected Work — Flagship Case Study

One event. Three apps.
One connected system.

How KRATIVFORM engineered a unified digital operations platform for the Bengal Youth Model United Nations (BYMUN) 2026—connecting public applicant journeys with administrative reconciliation, payment tracking, and committee allocation.

541Active Applications

Validated candidate records processed through the multi-stage ingestion pipeline.

372Allocated Delegates

Paid delegates assigned to international committees without duplicate seats.

100%Allocation Rate

Zero paid delegates left unallocated or unassigned in the operational queue.

01 / The ChallengeLEGACY FRAGMENTATION

When digital tools don't work together, volunteer teams carry the complexity.

Large youth conferences in South Asia face an acute coordination problem. Typical workflows rely on generic Google Forms, disparate spreadsheets, unverified mobile money screenshots sent over WhatsApp, and manual data entry.

This disconnected approach leads to predictable failures: payments go unreconciled, duplicate committee seats are mistakenly assigned, acceptance packets are delayed, and organizers burn hundreds of exhausting hours manually cross-checking records.

BYMUN 2026 required an institutional-grade platform engineered to eliminate manual error, ensure zero payment leakage, and give the secretariat board real-time visibility across all 6 international committees.

Operational Bottlenecks Solved
  • 01.Payment Leakage: Replaced untracked screenshot uploads with auditable MFS transaction references and bank records.
  • 02.Allocation Collisions: Automated committee quota matrix to prevent oversubscribing popular simulations like UNSC.
  • 03.Manual Coordination: Centralized applicant statuses in a single relational store accessible by authorized directors.
02 / The ArchitectureTHREE APPS · ONE SYSTEM

A unified relational data plane powering three focused interfaces.

Rather than attempting to force all roles into a single generic interface, the solution partitioned the conference lifecycle into three specialized subsystems operating over a single relational database.

01 // EXPERIENCE LAYER

Public Gateway & Portal

The authoritative public-facing portal providing prospective delegates, campus ambassadors, and institutional delegations with structured conference guidelines, committee agendas, and eligibility criteria.

  • Editorial typography and responsive performance
  • Transparent fee schedules and registration requirements
  • Contextual FAQ and committee study guide distributions
  • Direct routing into role-specific registration tracks
02 // INGESTION LAYER

Application Pipeline

A strictly validated multi-step application workflow replacing disconnected forms. Captures candidate background, committee preferences, experience essays, and payment references.

  • Client- and server-side Zod schema validation
  • Deterministic unique registration code generation
  • Multi-channel payment reference capture (bKash / Nagad / Bank)
  • Instant transactional confirmation notifications
03 // CONTROL PLANE

Secretariat Operations Console

The administrative command center for the conference secretariat board. Enables real-time payment reconciliation, automated committee quota balancing, and cohort communications.

  • Role-based administrative authentication and audit logs
  • Deterministic committee matrix allocation engine
  • Real-time payment verification and status tagging
  • Exportable records for on-site accreditation badges

Architectural decisions that prevented operational failure.

ALGORITHM 01 // COMMITTEE ALLOCATION MATRIX

Deterministic Quota Balancing

Committee selection factored in candidate preference rankings, previous Model UN experience scores, and institutional quotas. The allocation engine locked assigned country-committee pairs to guarantee zero duplicate nation assignments across simulations.

Constraint Check: Quota(Committee) < MaxSeats && !Assigned(Country, Committee)
PIPELINE 02 // MULTI-CHANNEL RECONCILIATION

Transaction Reference Ingestion

Applicants submitted unique MFS transaction IDs (bKash / Nagad) or bank deposit slips. The secretariat console matched these against daily merchant transaction exports, flagging discrepancies and automatically triggering confirmation packets upon validation.

Status Transition: SUBMITTED → PAYMENT_PENDING → VERIFIED → ALLOCATED
